General Procedure for the Competition 2019

TUESDAY, MAY 1ST & WEDNESDAY, MAY 2ND

FIRST AND SECOND ROUND

  • Each team receives the case according to a staggered system at 08:00 hrs, 08:40 hrs, 09:20 hrs, and 10:00 hrs following a random team allocation method. The location will be announced accordingly but all rooms are located at the Student Hotel Maastricht.
  • At the designated time, a team representative will receive four (4) copies of the case in a sealed envelope. Consequently, he or she will sign a confirmation of delivery form specifying the time of delivery.
  • Each team will have three (3) hours to work on their solution, presentation, and handout. Teams will work in one of the two hotel rooms assigned to them and are not allowed to contact non-team members (such as advisors, relatives, friends etc.).
  • ICC@M staff collects the presentations at the hotel rooms after the three (3) hours preparation time. The submission time for each group will be 11:00 hrs, 11:40 hrs, 12:20 hrs, and 13:00 hrs according to the team allocation method. A team representative will sign a submission form and deliver the USB stick provided by ICC@M containing the documents.
  • ICC@M staff reserves the right to conduct a quick, not invasive, inspection of the computers in the room.
  • Teams will receive printed copies of the documents submitted on the USB stick before leaving the hotel for School of Business and Economics (SBE). A backup of the documents submitted will be made by ICC@M. Copies for the judges will be printed from this backup held at SBE servers. The team’s USB stick with their documents will also be returned to them and teams are advised to bring it along as their backup.
  • A bus departs from the Student Hotel Maastricht to the SBE at 11:30 hrs, 12:10 hrs, 12:50 hrs, and 13:30 hrs. Each one of these busses is for the exclusive use of the four teams and their hosts at a certain time presenting on each time slot. All advisors take a separate bus at 11:40 hrs to go to the SBE. Advisors and team members will not share the same bus. In case an advisor misses the bus, he/she will easily find a taxi near the hotel to the SBE at his/her own expenses.
  • Teams rehearse their presentation at designated SBE rooms at 12:00 hrs, 12:40 hrs, 13:20, and 14:00 hrs. The rehearsal rooms are fully equipped with all necessary multimedia technologies for a presentation. ICC@M staff assign the rehearsal rooms.
  • Teams present in Business Formal attire according to the staggered system at 12:30 hrs, 13:10 hrs, 13:50 hrs, and 14:30 hrs. ICC@M staff will escort the teams to their corresponding presentation room. Each presenting team has five (5) minutes to setup their presentation.
  • All participants have lunch between 12:00 until 14:00 hrs.
  • At 15:00 hrs, all teams proceed to the presentation rooms for the announcement of the winner and the current ranking position. 
  • At 15:30 hrs, each team has a (maximum) 5 minutes private feedback session with each judge.

 

THURSDAY, MAY 3RD

  • Teams receive the case in a staggered system at 08:00 hrs, 08:40 hrs, 09:20 hrs, and 10:00 hrs according to team allocation method. The location will be announced accordingly but it will remain in the Student Hotel Maastricht facilities.
  • Teams have 24 hrs to create the presentation, handout and executive summary.
  • Non-team members (such as relatives, friends and advisors) and team members will have no contact from the moment of the case release.
  • Teams receive lunch in their rooms on three time slots: 12:00 hrs, 13:00 hrs, and 14:00 hrs.
  • Team Hosts are responsible for delivering the lunch to their respective team.
  • Teams receive dinner in their rooms on three time slots: 18:30 hrs, 19:30 hrs, and 20:30 hrs. Team Hosts are responsible for delivering the dinner to their respective team.

 

FRIDAY, MAY 4TH

THIRD ROUND (MORNING)

  • The submission time for each group will be 08:00 hrs, 08:40 hrs, 09:20 hrs, and 10:00 hrs according to the team allocation method. ICC@M staff collect the presentations at the hotel rooms. A team representative will sign a Submission Form and deliver the USB stick provided by ICC@M containing the documents. ICC@M staff will reserve the right to conduct a quick not invasive inspection of the computers in the room.
  • Teams receive printed copies of the documents submitted in the USB stick before leaving the hotel to SBE. A backup of the documents submitted will be done by ICC@M staff and judges copies will be printed out from this backup held at SBE servers.
  • Team’s USB stick with their documents is also returned to them and teams are advised to bring it along as their backup.
  • A bus for 20 people departs from the Student Hotel Maastricht to SBE at 09:20 hrs, 10:00 hrs, 10:40 hrs, and 11:20 hrs. Each one of these busses is for the exclusive use of the four (4) teams presenting on each time slot and their hosts. All advisors will take a separate bus at 09:10 hrs to SBE. Advisors and team members will not share the bus. In case of missing the advisors’ bus, the advisor will easily find a taxi near the hotel.
  • Teams rehearse their presentation at designated SBE rooms at 09:50 hrs, 10:30 hrs, 11:10, and 11:50 hrs. The rehearsal rooms are fully equipped with all necessary multimedia technologies for a presentation. ICC@M staff assign the rehearsal rooms.
  • Teams present in Business Formal attire following the staggered system at 10:30 hrs, 11:10 hrs, 11:50 hrs, and 12:30 hrs. ICC@M staff and team hosts escort the teams to their corresponding room. Each presenting team will have five (5) minutes to setup their presentation.
  • All participants will have lunch between 12:00 and 14:00 hrs.
  • At approx. 14:00 hrs, the ICC@M committee will announce the four (4) finalists. This will occur during lunch.
  • After the announcement, each finalist team proceeds to a separate room to prepare for the final round.

 

FINALS

  • Judges will receive handouts and an executive summary of the presentations before each presentation. ICC@M staff print and deliver the presentation handouts and executive summary to the judges before each presentation.
  • Finalists teams have a practice room to their disposal from the moment of the announcement until their presentation time.
  • The finals are open to the public and take place in the SBE Lecture Hall. Entry to the venue is possible between 14:30 and 14:55 hrs.
  • Finalist teams present at 15:00 hrs, 15:40 hrs, 16:20 hrs, and 17:00 hrs.
  • After the finals, there are busses going to the Student Hotel Maastricht in case participants would like to change before the Award Ceremony.
  • The Award Ceremony is a private event starting at 19:00 hrs.
